Crafting effective meetings in a digital age

Crafting effective meetings in a digital age

It's no secret that numerous meetings end up being resource-draining without any tangible outcome. Elevating the efficacy of meetings boils down to understanding what truly works. By Lasse Jalling - Partner and learning architect

The approach to a meeting should always revolve around the desired outcome. While some matters are best resolved individually, others gain momentum through collective brainstorming. Deciding between digital tools, analog methods, case studies, or peer guidance is steered by the intended result.

Our expertise extends to developing innovative tools that supplement or even supplant conventional classroom-based instruction. Central to our methods is harnessing design as a potent learning instrument. Our mixed-method approach to learning integrates the tangible with the digital – facilitating seamless idea exchange, data capture, and post-meeting documentation.

A structured approach
Generally, we design sessions like this:

Pre-learning > meeting > post-learning

Pre-learning equips participants beforehand, immersing them in preparatory materials like articles, videos, or quizzes. It’s essential that they have clarity about the meeting’s objectives and logistics.

Post-learning solidifies the meeting’s takeaways. This could involve quizzes, reflective writing, or other activities. When multiple sessions are in play, each session’s post-learning becomes the foundation for the next, creating a coherent learning journey.

The primacy of content

Digital transitions, be it through never-ending cloud-stored documents or digital meetings, don’t inherently guarantee quality. Digital proficiency is about discerning when and how to utilize digital platforms. True, platforms like Teams or Miro can host meetings or brainstorming sessions, but they aren’t universally optimal.

A great variety of tools can elevate digital meetings, including our own innovation solution, Digital Group Learning – Diggle. However, effective meetings aren’t just about the tools or platforms; they hinge on the quality of content and engagement. Everyone remembers how tiring it was when PowerPoints used to have titles that flew in from the left, did a spin, and then dissolved into nothingness…

Life on Teams

The rise of digital tools is undeniable. As clients like Equinor and the Finance Sector Union show, there’s a growing demand for a blend of analog and digital methods. However, there’s a noticeable gap in knowledge development. For instance, why do so few harness Teams in a way that allows participants a seamless entry, instead of a prolonged waiting room experience?

Digital Norway has gathered a variety of tips and tricks for using of digital solutions in meetings.

Whether it’s embracing these tools or fine-tuning our approach to digital collaboration, the ultimate goal remains: creating productive, engaging, and effective meetings.
